Privacy policy

Ward's janitorial & clean up LLC, trading as Ward & Bristle, operates wardbristle.com. We are responsible as controller for personal information we process to operate the store, fulfil purchases and provide customer support.

Information We Collect

When you place an order, contact us or use available store features, we collect information relevant to that interaction. This may include:

  • Your name, email address and telephone number.
  • Billing and delivery addresses.
  • Order details, payment status, transaction references and purchase history.
  • Return, refund, exchange and customer-service correspondence.
  • Account information, if you choose to use an available customer account.
  • IP address, browser and device information, session information, security logs and interactions with the storefront or checkout.
  • Privacy choices and marketing preferences where those features are used.

Information comes from you, your interaction with the store and service providers supplying payment, delivery, security or support updates.

Payment Information

Payment credentials are handled through the payment services made available at checkout. We process the transaction information and payment status needed to manage orders, refunds and disputes.

Do not send full payment-card details, passwords or identity documents through ordinary customer-service messages.

How We Use Information

  • To receive, check and fulfil orders.
  • To process payments, refunds and exchanges.
  • To arrange dispatch, delivery and tracking.
  • To respond to enquiries and resolve complaints.
  • To operate, maintain and secure the store.
  • To prevent fraud and manage payment disputes.
  • To meet accounting, tax and other legal obligations.
  • To record and respect privacy choices.
  • Where relevant features are enabled and lawfully used, to measure store performance or send requested marketing.

Legal Bases

We rely on performance of a contract, or steps taken at your request before entering a contract, to process purchases and related delivery and support.

We rely on legal obligations where records or disclosures are required by law.

We rely on legitimate interests to maintain a secure and reliable service, prevent fraud, troubleshoot problems and handle disputes, taking account of your rights and interests.

Where consent is required for optional tracking or marketing, we rely on your consent. You may withdraw consent without affecting earlier lawful processing.

Information identified as necessary at checkout is needed to process the purchase. Without it, we may be unable to accept the order or deliver the goods.

Who Receives Information

We share information as necessary with:

  • Shopify, which provides the ecommerce platform and related services.
  • Payment providers handling authorisation, payment, refunds and disputes.
  • Fulfilment, delivery and tracking providers.
  • Communications, hosting, technical and customer-support providers used to operate the store.
  • Professional advisers, authorities or other recipients where required by law or necessary to establish, exercise or defend legal claims.

We disclose information appropriate to each recipient's role. If optional analytics, advertising, review or marketing services are used, their processing must be covered by the store's relevant disclosures and privacy controls.

Some providers may act independently for certain processing. Shopify explains its processing in its Privacy Policy. Payment providers may also provide their own privacy notices.

Cookies and Similar Technologies

The store uses technologies needed for shopping sessions, cart contents, checkout and security.

Where consent is required for optional cookies or similar technologies, they must not operate before that consent is obtained. Simply continuing to browse is not treated as consent where an active choice is required.

Use the privacy controls made available on the store to manage relevant optional choices. If you cannot locate or use those controls, contact us for help. Browser settings can also block or delete cookies, although blocking essential technologies may affect shopping functions.

Information about optional providers, purposes and storage periods should reflect the services actually enabled on the store.

Marketing

Where marketing subscriptions are offered, we use the permission or other lawful basis required for that communication. Placing an order does not itself mean that you consent to unrelated promotional messages.

You may unsubscribe using the facility in a marketing message or by emailing support@wardbristle.com. Necessary order, delivery, refund and security communications are separate from marketing.

International Processing

Our business is based in the United States and uses Shopify and other service providers. Personal information may therefore be accessed or processed outside the United Kingdom, including in countries where relevant providers operate.

Where applicable transfer rules require safeguards, we use an appropriate lawful transfer mechanism, such as an applicable adequacy arrangement or approved contractual safeguards. Contact us for information about safeguards relevant to your personal information.

Retention

We retain personal information only for as long as needed for the purposes described in this notice. The period depends on the nature of the information, whether an order or complaint remains open, applicable accounting and tax obligations, fraud-prevention needs and relevant legal claim periods.

Customer-service records are retained as needed to resolve and document enquiries. Consent and suppression records are kept as necessary to respect your communication choices.

When information is no longer required, it is deleted or anonymised, subject to applicable retention obligations.

Your Rights

Depending on applicable law and the circumstances, you may request access, correction, deletion, restriction or portability of your personal information.

You may object to processing based on legitimate interests on grounds relating to your situation, and object to direct marketing at any time. Where processing relies on consent, you may withdraw it.

Email support@wardbristle.com to make a request. We may request proportionate identity verification and will respond within applicable statutory time limits. Some requests are subject to lawful exceptions, such as obligations to retain transaction records.

Security and Automated Checks

We use safeguards appropriate to the information processed, but no online system can guarantee complete security.

Payment and security providers may use automated fraud checks. If a transaction is affected, contact us to request assistance and human review where applicable. The information available may depend on the independent provider's role.

Children

The store is intended for adult purchasers and is not directed at children. Contact us if you believe a child has supplied personal information inappropriately.

Complaints and Changes

You may raise a concern with the UK Information Commissioner's Office at ico.org.uk/make-a-complaint/. You do not have to contact us first, although we welcome the opportunity to resolve a concern.

We may revise this notice when our processing changes and will communicate material changes where required.
